Consulting Console

External consultant billing

Pay external consultants when your client pays you.

Most firms that rely on external consultants run pay-when-paid on email and trust. Consulting Console enforces it: external consultants bill you from the time they logged, only once the client invoice reaches the status you choose.

How it works

Five steps, one record. The hours on the client invoice are the same hours on the external consultant bill.

01

Assign the external consultant

Invite the external consultant to your workspace and assign them to the client project with their billable and cost rates.

02

They log time

The external consultant logs time against the project. You invoice the client for it like any other billable time.

03

Your release rule applies

You choose the client invoice status that unlocks external consultant billing: draft, submitted, authorised, sent or paid. Pick paid for true pay-when-paid.

04

They submit their bill

Once released, the external consultant raises their bill to you from the time already logged. No re-keying, no mismatched hours.

05

You approve and sync

Review the bill line by line, approve or reject it, then send it to Xero as a draft bill and track its status.

For the firm

No surprise bills before the client has paid. External consultant cost sits against the same project as the revenue, so margin is real.

For the external consultant

A free Consultant workspace, a clear view of what's been released for billing, and bill status they can track without chasing.

For finance

Every external consultant bill is tied to logged time and a client invoice, approved in the app and sent to Xero as a draft bill.
